Decide what would make the visit feel successful for your family. You may want time for conversation and photos, a gift presentation, a story, or a brief surprise. Share those priorities when you contact a performer so you can agree on the visit length and flow.

Prepare children and guests

Tell guests when Santa is expected and give children a simple idea of what will happen. Some children need time and space before approaching Santa, so avoid forcing a greeting or photo. Let the performer know about accessibility, sensory, mobility, language, or other needs that could make the experience more comfortable.

Plan gifts and arrival details

If Santa will present gifts, label them clearly and arrange a discreet transfer before the entrance. Confirm parking, the arrival door, stairs, pets, and any place where Santa can pause out of view. A clear arrival plan protects the surprise and keeps the visit on schedule.

Confirm the day-of contact

Give the performer the name and mobile number of one adult who will watch for arrival and handle changes. Keep that phone nearby, and tell Santa about any last-minute guest or schedule changes. Direct communication is especially useful during busy December travel.

Put the agreement in writing

Independent performers set their own services, rates, retainers, cancellation terms, and travel areas. Confirm the date, time, address, services, total price, payment timing, and cancellation policy directly with the performer before the visit.
